Mailing addresses

In a standard business letter, you start with your name and your return address, including street, city, state and the ZIP code on the following line. Be sure to have your email address below that.

In an email, your return address isn’t required. You can include it if you choose but it’s not standard in an informal style email. You can add this information after your name at the very bottom of the letter in your signature block if you choose. They will have your contact information from receiving the email. They can hit reply and follow up.

In a standard letter, the next set of addresses is the recipient’s full name, title, company name, company street address and then the city, state and ZIP code. This is often followed by the phone number if you know it.

When it comes to email format, there is a division over whether this second address is required. It’s more formal and more professional to have it there. If the email is to be of a more casual tone, then you can start the email directly with the salutation. In all other cases, it’s better to err on the side of caution and put the address information in.
